# Form inbox and reporting dashboard

> Designing and building a private web app for website enquiries: forms that read like mail, with type and status up front, and reporting beside them.

When every website form lands as a row in a shared spreadsheet, nothing says whether anyone has answered it. A small inbox built for enquiries fixes that without changing the public site.

- **Services:** UI/UX Design · Web Development
- **Timeline:** Roughly 4–8 weeks for a focused first version
- **Backed by:** 1 case study · 1 for a client
- **Updated:** 2026-10-02

## Who it’s for

Schools, clinics and small businesses whose website enquiries pile up in a spreadsheet or a shared mailbox with no owner.

## Features

**Must have**

- Every website form arriving in one inbox
- Enquiry type, location and status shown up front
- Marking an enquiry answered, and by whom
- Search and filters by type and status
- Private sign-in for staff only
- One tab per job, so the inbox stays focused

**Nice to have**

- SEO data for the website in a tab beside the inbox
- Notes on each enquiry
- Assigning enquiries to a colleague
- A weekly summary of what came in

## Screens and flows

1. Inbox
2. An enquiry's detail
3. Filters by type, location and status
4. Reporting tab
5. Staff sign-in

## Platform options

- **Private web app on a subdomain.** Kept apart from the public site, so the website only posts the form and the app handles the rest. Dashbird runs this way for KYZN.
- **Built into an existing back office.** If you already have an admin system staff log into, the inbox can live there instead. It depends on what that system allows.

## Integrations

- Forms posted from the public website
- SEO data for the website

## How we approach it

We design the inbox to read like mail. Each enquiry shows its type, its location and whether it has been answered before you open it, which is the one thing a spreadsheet row can't tell you.

The app stays small and private. The public site keeps doing its job, posting the form, and the inbox does the rest on its own subdomain.

Dashbird, built for KYZN, is where this comes from. Website forms have landed there instead of a Google Sheet since August 2026.

## Frequently asked questions

### Do we have to rebuild our website?

No. The website only needs its forms to post to the inbox instead of the spreadsheet. Dashbird sits on its own subdomain, separate from KYZN's public site.

### Can it include more than form enquiries?

Yes, as separate tabs. Dashbird keeps SEO data for kyzn.sch.id beside the inbox. Each new job gets its own tab rather than crowding the first.

### What happens to the enquiries already in our spreadsheet?

We'd agree that up front. Older rows can be imported once, or kept in the sheet as an archive while new enquiries go to the inbox.
